Case Study

Keeping Finance Running During an ERP Transformation

Business Challenges

  • A major ERP transformation placed new demands on finance while daily accounting responsibilities continued uninterrupted.
  • Finance leaders needed experienced support for data conversion, testing, and validation without stretching internal resources.
  • The project required professionals who could contribute immediately and collaborate effectively across multiple teams.

Key Outcomes

  • Protected day-to-day finance operations by allowing internal teams to stay focused on close and business support.
  • Prepared finance for the new ERP environment through master data validation, migration reviews, and accounting testing.
  • Improved collaboration across the project by coordinating finance activities between accounting, the implementation partner, and key stakeholders.

Project Overview

A large publicly traded consumer goods and retail services company was replacing Microsoft Dynamics with SAP S/4HANA as part of a broader business transformation. Success depended on significant participation from finance, including finance master data conversion, migration validation, user acceptance testing, and issue resolution.

At the same time, the accounting team remained responsible for closing the books and supporting the business. The client turned to DLC for experienced resources who could step into the project quickly, handle critical execution work, and help keep the transformation moving without disrupting day-to-day finance operations.

Business Challenge

The ERP transformation created competing priorities for finance. Accounting leaders were expected to support data conversion, testing, validation, and issue resolution while continuing to manage close and ongoing operational responsibilities.

The move from Microsoft Dynamics to SAP S/4HANA added another layer of complexity. Finance structures had to be rebuilt, converted balances needed to reconcile across multiple modules, and future-state accounting processes required thorough testing before the next project phase.

The client needed experienced support that could immediately contribute to the project, reduce pressure on internal teams, and keep finance requirements represented without creating additional management overhead.

The Approach

DLC integrated with the client’s finance team and implementation partner to provide hands-on support throughout the transformation.

Our team first aligned on the future-state finance structure, identified key stakeholders, and prioritized where finance support would create the greatest value. From there, we assisted with finance master data conversion by reviewing chart of accounts, cost center, and profit center structures, validating mappings, and coordinating business input.

We also reviewed migration outputs, identified data quality issues, supported accounting user acceptance testing, documented results, tracked defects, and coordinated issue resolution with project stakeholders.

Throughout the engagement, DLC served as the link between finance, the implementation partner, and the broader project team. By taking ownership of execution activities while involving client leaders only when business decisions were required, we helped maintain project momentum while minimizing disruption to daily operations.

The Results

  • Internal finance teams remained focused on financial close, business support, and day-to-day responsibilities throughout the ERP transformation.
  • Finance master data, including chart of accounts, cost center, and profit center structures, was reviewed and validated for the future-state environment.
  • Migration loads and converted balances were validated across the general ledger, accounts receivable, accounts payable, and fixed assets modules.
  • Accounting user acceptance testing was organized, executed, documented, and supported through each stage of the project.
  • Communication and coordination improved between finance, the implementation partner, and the broader project team, helping ensure finance requirements were addressed throughout the transformation.
  • The client advanced to the next phase with validated finance structures, tested accounting processes, and greater confidence in the future-state ERP environment.
